1. Who we are

This website, sarah-hotel.co.uk, is operated by Sarah Enterprise Dc Ltd, trading as Sarah Hotel, of 65 Garland Road, Harwich, Essex CO12 4PA, United Kingdom (“we”, “us”, “our”). We are the data controller for personal information collected through this site.

In plain language: we are the hotel, and we decide how any information you send us through this website is handled. If you want to ask about it, email or call us.

2. What we collect

This is a brochure website. We do not use analytics, advertising trackers or profiling, and this site does not set any cookies of its own.

The only personal information we collect is what you type into our contact form:

Our form provider also records technical information with each submission, such as your IP address, to detect and block spam.

In plain language: we only get what you type into the contact form. We are not tracking you around the website.

3. Why we are allowed to use it

Under UK GDPR we rely on the following lawful bases:

Steps prior to entering a contract — where your message is about booking or staying with us.
Legitimate interests — to answer general enquiries and to keep the website secure and free of spam.

We do not use your enquiry to send you marketing unless you have separately asked us to.

4. Who else handles your information

We do not sell your personal information. We share it only with the service providers we need to run the site and reply to you:

Where information is transferred outside the UK, this is done under the safeguards allowed by UK data protection law, such as the International Data Transfer Agreement or UK Addendum.

Embedded content and outbound links

Google Maps — our contact page embeds a map. When it loads, Google may set cookies and receive your IP address. Google acts as its own controller for that; see the Google Privacy Policy. If you would rather not load it, use the “Get directions” button instead, which only opens Google Maps when you choose to click it.
Cloudbeds — our “Book now” buttons take you to our booking system at cloudbeds.com. Anything you enter there is covered by their privacy policy, not this one.
Facebook and Instagram — these are ordinary links in our footer. We do not run their tracking pixels on this site.

In plain language: the embedded Google map is the only third party that loads automatically. Booking happens on a different company’s website, so their rules apply once you get there.

5. Cookies

This website sets no cookies of its own, and uses no analytics or advertising cookies. The only cookies that may be set are by the embedded Google Map described above. You can block or delete cookies in your browser settings at any time.

6. How long we keep it

We keep contact-form enquiries for 12 months from your last contact with us, after which they are deleted. Where an enquiry leads to a booking, the related records are kept for 6 years to meet our accounting and tax obligations.

In plain language: a general enquiry is deleted after a year. If you actually stayed with us, the booking paperwork has to be kept for six years because HMRC requires it.

7. Your rights

Under UK GDPR you have the right to:

ask for a copy of the personal information we hold about you;
ask us to correct anything that is wrong;
ask us to delete it;
ask us to restrict how we use it, or object to our using it;
ask for it in a portable, machine-readable format;
withdraw consent at any time, where we relied on consent.

To exercise any of these, email sarahenterpriseltd@gmail.com. We will respond within one month. There is normally no charge.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

8. Children

This website is not directed at children, and we do not knowingly collect personal information from anyone under 13. If you believe a child has sent us information, please contact us and we will delete it.

9. Security

This website is served over an encrypted HTTPS connection, and enquiries are held in access-controlled systems provided by the companies named above. No system can be guaranteed completely secure, but we take reasonable steps to protect your information and will tell you and the ICO about a breach where the law requires it.

10. Changes to this policy

If we change this policy we will update the date at the top of this page. Please check back occasionally.
